Service Terms
These terms apply to IT support, projects, domain services and consultancy we provide. Anything specifically agreed in a signed quote, estimate or contract takes priority over these terms.
1. Quotes and scope
- Quotes and estimates are valid for 14 days unless stated otherwise.
- We do the work described in the agreed scope. Requests outside that scope are quoted separately and only done once you agree. We'll tell you before anything extra is charged.
- Support is billed for the time logged at the agreed hourly rate, guided by the approved estimate.
2. What we need from you
- Timely access to the systems, people and information the work needs, including multi-factor authentication (MFA) codes when required.
- Accurate information, and someone available to make decisions and approve changes.
- Current backups of important data before changes, unless backup work is part of our scope.
Delays caused by waiting on access or decisions may affect timelines.
3. Access details and credentials
Logins you share with us are stored encrypted and used only for the agreed work. You stay the owner of your accounts and may change passwords or revoke our access at any time. We delete stored access details within 30 days after the work or management ends.
4. Payment
- Prices are in US dollars. VAT is added at the applicable rate (currently 15.5% in Zimbabwe) where it applies, and is shown separately.
- Invoices are due within 14 days unless agreed otherwise. We issue a receipt for every payment.
- If payment is overdue, we may pause further work after giving you notice.
5. Domain services
- Domains are registered for you, and you remain the owner. We manage them on your behalf and remind you before renewals.
- Renewal fees and our service fee are confirmed before each renewal. If a renewal isn't approved or paid in time, the domain may lapse at the registrar.
- We're not responsible for registrar outages, or for availability changing before a domain is registered.
- When you'd like to move a domain elsewhere, we'll provide what's needed to transfer it.
6. Consultancy
Many consultations are free; free advice is general guidance based on the information you provide. Where a consultation has a fee, we confirm it in writing before charging anything.
7. Sign-off
When work is complete, we send a sign-off document. Signing it (on paper or online) confirms the work was delivered, apart from any outstanding items listed in it.
8. Our commitment, and limits
- We carry out work with reasonable skill and care, following good industry practice. If something we delivered doesn't work as agreed, tell us within 14 days of sign-off and we'll fix it at no charge.
- We rely on third-party products (for example Microsoft 365, registrars, hardware vendors) and aren't responsible for their failures, outages or changes.
- To the extent the law allows, our total liability for any claim is limited to the fees you paid for the specific work concerned, and we're not liable for indirect or consequential losses (such as lost profits or data you didn't back up).
9. Confidentiality and data protection
We keep your business information confidential. Where our work involves personal information in your systems, we handle it only on your instructions and for the agreed work, with appropriate security, in line with Zimbabwe's Cyber and Data Protection Act and, where it applies, South Africa's POPIA. See our Privacy Policy.
10. Ending an engagement
Either of us may end ongoing work with written notice. You pay for work done up to that point, and we hand back access and documentation.
11. Governing law
These terms are governed by the laws of Zimbabwe. We'll always try to resolve disagreements by talking first; if that fails, the courts of Zimbabwe have jurisdiction. South African clients keep any rights under South African law that can't be waived.
